Qiwa Platform Management & Contract Authentication
Qiwa is where a lot of quiet non-compliance accumulates. Contracts sit unauthenticated because a field was wrong. The establishment file shows stale data that blocks unrelated transactions. Work permits lapse behind valid iqamas. None of it announces itself until something else fails — usually at the worst moment.
In short
Qiwa is the Ministry of Human Resources platform where Saudi employers authenticate employment contracts, manage their establishment file, and issue work permits. Contracts that are not authenticated on Qiwa leave the employer exposed in any labour dispute. SCPL administers your Qiwa account end to end.
You're probably here because one of these is true
- Contracts are showing as unauthenticated or rejected
- A Qiwa transaction is blocked and you cannot identify why
- Your establishment file data is out of date
If any of these describe your situation, say so in the enquiry — urgent cases are routed differently and we come back the same working day.
What's included
What SCPL handles under Qiwa services
Any establishment employing staff in Saudi Arabia. Contract authentication is not optional, and the platform gates transactions well beyond hiring.
- Employment contract authentication
- Drafting to platform requirements and authenticating, including bulk processing for existing staff whose contracts were never registered.
- Establishment file management
- Keeping entity data, activities, and authorised users accurate so downstream transactions clear.
- Work permit issuance and renewal
- Aligned to iqama validity so the two never drift apart.
- Rejection resolution
- Diagnosing and clearing failed submissions rather than resubmitting blind.
- Employee transfers
- Qiwa-side steps for sponsorship transfers in and out.
- Subscription management
- Ensuring the establishment's Qiwa subscription tier matches its headcount and transaction needs.
Common questions
Is Qiwa contract authentication mandatory in Saudi Arabia?
Yes. Employment contracts for staff at Saudi establishments must be registered and authenticated through Qiwa. An unauthenticated contract leaves the employer in a weak position in any labour dispute, because the platform record is what the authority refers to.
What happens if a Qiwa contract is rejected?
The contract stays unauthenticated until the underlying issue is fixed. Common causes are a mismatch between the contract profession and the work permit, salary figures inconsistent with what is filed elsewhere, or missing establishment data. Resubmitting without diagnosing the cause simply repeats the rejection.
Can we authenticate contracts for staff who were hired years ago?
Yes, and you should. Historic staff whose contracts were never registered are a common finding when we audit a new client's establishment. Bulk authentication clears that exposure.
Who should hold the Qiwa admin account?
The establishment retains ownership of the account. We operate under delegated access, which means you keep control and visibility and can revoke access at any point — an arrangement we recommend over handing credentials to any provider, including us.
